The Administrative Assistant is responsible for providing support to office operations by coordinating meetings, maintaining accurate records, and assisting with documentation, reporting, and project tasks. This role also includes serving as a backup for the Office Coordinator and website management.

What will I do?

  • Provide backup assistance to the Office Coordinator as needed, ensuring smooth office operations.
  • Schedule meetings, prepare agendas, and set up technical aspects for both in-person and virtual meetings.
  • Take detailed and accurate meeting minutes, distribute action items, and track follow-ups.
  • Assist in preparing reports, presentations, and other documentation with a high degree of accuracy.
  • Maintain and update company policies, procedures, and records on the Hub.
  • Provide support for ongoing projects, including conducting research, coordinating tasks, and ensuring deadlines are met.
  • Maintain accurate and organized records, ensuring all documents are accessible and up to date.
  • Serve as a backup for maintaining and updating website content as needed.
  • Set up technical aspects of meetings, including AV equipment and computer applications.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other tools effectively to complete assigned tasks.

Position requirements:

  • A high school diploma or equivalent is required.
  • A minimum of 2 years of administrative support experience is preferred.
  • Experience with website management and project coordination is a plus.
